Terms & Conditions – Vagus Travel Advisors

1. Introduction

Welcome to Vagus Travel Advisors (“Company”, “we”, “our”, “us”). By booking or using our services, you (“Client”, “Traveler”) agree to comply with and be bound by the following Terms & Conditions. These apply to all travel services including domestic and international tours, customized itineraries, group departures, and third-party services.

2. Booking & Payments

  • A booking is confirmed only upon receipt of the required deposit or full payment.
  • Prices are subject to availability and may change due to currency fluctuations, supplier changes, or unforeseen circumstances.
  • Full payment must be completed before travel as per the timeline shared at the time of booking.
  • Failure to pay on time may result in automatic cancellation without prior notice.

3. Cancellation Policy

All cancellations must be made in writing via email.

Standard Cancellation Charges

  • 45+ days before departure: Deposit amount non-refundable
  • 30–44 days: 25% of total booking cost
  • 15–29 days: 50% of total booking cost
  • 7–14 days: 75% of total booking cost
  • Less than 7 days / No-show: 100% non-refundable

Note: Certain services (flights, visas, peak season bookings, promotional fares) may be completely non-refundable.

4. Refund Policy (Key Section)

4.1 General Refund Principles

  • Refunds are processed only after receiving funds from third-party vendors (airlines, hotels, DMCs, etc.).
  • Service fees, consultation charges, and processing fees are strictly non-refundable.
  • Refund timelines: 15–45 working days depending on supplier policies.

4.2 Non-Refundable Situations

  • Visa rejection (unless specifically included in a refundable package)
  • No-shows, unused services, or early departures
  • Last-minute cancellations within penalty window
  • Force majeure situations (see Clause 9)

4.3 Partial Refunds

  • Refunds for partially used services are at the sole discretion of the supplier.
  • Any applicable refunds will be processed after deduction of administrative and supplier charges.

4.4 Refund Method

  • Refunds will be made via the original payment method or company-approved alternatives.
  • Currency differences and bank charges, if any, will be borne by the client.

5. Changes & Amendments

  • Any changes requested after booking confirmation are subject to availability and additional charges.
  • Last-minute changes may not be accommodated.
  • Name changes, date changes, and itinerary modifications may attract supplier penalties.

6. Travel Documentation

  • Clients are responsible for valid passports, visas, permits, and other required documentation.
  • Passport must typically be valid for at least 6 months from date of return.
  • Vagus Travel Advisors is not responsible for denied boarding or entry due to incomplete documentation.

7. International Travel Behaviour Policy (Strict Code of Conduct)

To ensure a safe and respectful experience, all travelers must adhere to the following:

7.1 Legal Compliance

  • Travelers must comply with the laws, customs, and regulations of the destination country.
  • Any illegal activity (including drug use, theft, violence, or misconduct) will result in immediate termination of services without refund.

7.2 Respectful Conduct

  • Respect local cultures, traditions, dress codes, and religious sentiments.
  • Misbehavior with guides, hotel staff, co-travelers, or locals will not be tolerated.

7.3 Group Travel Etiquette

  • Punctuality is mandatory. Delays caused by an individual may result in missed services without compensation.
  • Disruptive behavior affecting group harmony may lead to removal from the tour.

7.4 Substance Use

  • Consumption of alcohol must comply with local laws and social norms.
  • Any misconduct under influence will be the sole responsibility of the traveler.

7.5 Liability

  • Any damage caused to property, vehicles, or accommodations must be compensated directly by the traveler.
  • Legal consequences abroad will be solely borne by the individual.

8. Third-Party Liability

  • Vagus Travel Advisors acts as an intermediary between clients and service providers (airlines, hotels, transport operators, etc.).
  • We are not liable for delays, cancellations, accidents, or deficiencies caused by third-party vendors.

9. Force Majeure

We shall not be held liable for failure or delay due to circumstances beyond our control, including but not limited to:

  • Natural disasters
  • Pandemics
  • Political unrest
  • Flight cancellations
  • Government restrictions

In such cases:

  • Refunds will be subject to supplier policies.
  • Alternative arrangements may be offered where possible.

10. Travel Insurance

  • Travel insurance is strongly recommended for all international travel.
  • The company is not liable for any medical, financial, or travel-related emergencies.

11. Pricing & Inclusions

  • Prices include only the services explicitly mentioned in the itinerary.
  • Any additional expenses (meals, tips, personal expenses, etc.) are excluded unless specified.

12. Complaints & Disputes

  • Any issues must be reported immediately during the trip.
  • Post-trip complaints may not be entertained if not raised during travel.
  • All disputes are subject to the jurisdiction of Mumbai, India.

13. Acceptance of Terms

By confirming a booking with Vagus Travel Advisors, the client acknowledges having read, understood, and agreed to these Terms & Conditions.
